Data Protection and Privacy of Information

This website is designed to hold key contact information for Clubs within the District and of those personnel holding office at District level. Member's details including private contact information are only available to District Officers via the secure area of this website. We DO NOT publish the contact details of any individual on this website unless we have been given their express permission to do so.

Club Secretaries should note carefully that is the legal right of individuals within your Club to request that their personal information NOT be included in electronic or printed (hard-copy) form in the District Directory. Before entering contact information about the members of your Club for inclusion in the directory, please make sure they are aware of this.

Protecting your Email from SPAM

Unsolicited email [SPAM] is very difficult to stop but it is extremely easy to prevent. We make every attempt NOT to publish email addresses on this website without first taking steps to protect or conceal them from email harvesting programs. These are automated programs which scan websites looking for email addresses to add to a database for sending unsolicited mail or spam mail. Email addresses are generally published in the diary section of this website where it becomes helpful and sometimes necessary to display a point of contact.

Using your email address

We first encode email addresses before adding them to the page. This effectively hides the email address from the possibility of being picked up by an email harvesting program. This counter-measure is not completely secure, but it has been known to reduce the level of SPAM significantly. If you are in any doubt, we recommend that you ask us NOT to publish your email address and simply provide your contact telephone number instead. If you are sending us articles of news, notices or events, you have the option of declaring whether or not you wish your email address to be published along with your article.

Protecting yourself from unsolicited mail

The best protection from unsolicited mail is simply not to publish your email address, but if you must, here are some tips:

Think before you give out your e-mail address

Try to avoid giving your main e-mail address on web sites, chat rooms, newsgroups or to companies. There are many places online that provide free e-mail accounts. You could set up a separate account to use when signing up to an internet service, or for online shopping. This way your main e-mail address cannot be "harvested" by spammers. Avoid forwarding chain-letters or petitions. The lists of addresses can be used by spammers.

Never reply to spam

This includes the notorious "click here to unsubscribe" trick. While it looks as if you are being given a chance to opt out of receiving further unsolicited e-mail, in fact you will be letting the spammer know that your e-mail address is active, leading to yet more spam being sent. Don't click it, just delete the e-mail.

Blocks and Filters

Your webmail or e-mail program probably has simple spam blocking features already. Have a look for the pages on "spam" or "junk mail" in the Help section of your mail program or webmail service. There are various software programs to help you block spam.

Internet Service Provider
Several Internet Service Providers include spam blocking facilities, either as part of their basic package, or for a small additional cost. E-mail your ISP or search their website to find out about any spam blocking services they may offer.
